LoopyDogs Privacy Notice

The information I will collect from you...

Personal information means any information about an individual from which that person can be identified (it doesn’t include data where the identity has been removed (anonymised data)).

During the course of our initial discussions, the meet and greet, and where I go on to provide you with my walking (or other services) for your loopy dog (or dogs), I will need to collect:

(a) your name, address, email address and phone number(s) and (where relevant) the same for any secondary person in your household and an emergency contact;

(b) the name, address and telephone number of your dog's veterinary practitioner.

You may also provide me with certain information by filling in forms, entering competitions or promotions or by corresponding with me by phone, email or text message (which may include applications such as Whatsapp and Facebook messenger).

If you prefer not to provide me with the above type of personal information, then please understand that I may not be able to provide some or all of my services to you.

Where you access my website (www.loopydogs.co.uk), cookies may be used to collect information about you from third parties such as Youtube and Facebook to tailor the content you may see.

What I do with your information...

I only use your personal information to provide you with the services you have requested, where it is necessary for my legitimate business interests or where I am required to comply with a legal or regulatory obligation.  Accordingly, I will use your personal information as follows:

(a) to register you as a client;

(b) to perform my services for you (including collecting and dropping off your dog or dog's at your home, arranging appropriate timings; arranging emergency veterinary care and managing payments);

(c) to manage our relationship, including notifying you of changes to my service terms;

(d) to enable you to participate in prize draws, competitions or surveys;

(e) to administer and protect my business; and

(f) to de-identify your data (anonymise or aggregate).

Marketing...

I don’t currently engage in any marketing (electronic or otherwise) to prospective, existing or former clients, so you will not hear from me for this purpose. I will only ever do so in the future, with your prior consent (which you can then withdraw at any time).

Sharing your information...

I may share your personal information with other selected third parties, including:

(a) any business partners, service providers, suppliers or sub-contractors for the performance of any contract I enter into with them or you, including (but not limited to):

(i) fellow dog walkers to the extent that they provide you with some or all of the services on my behalf (for example where I am on annual leave or unwell and I arrange for such parties to cover my business in my absence); and

(ii) your or another veterinary service as may be required where your dog (or dog's) require veterinary assistance (but I will always attempt to contact you beforehand where possible in the circumstances); and

(iii) the IT service providers I may use from time to time (such as for email, storage and payment or invoice management services);

(b) if my business or assets are acquired by a third party (in which case information held about my customers will be one of the transferred assets); and

(c) if I am under a duty to disclose or share your personal information in order to comply with any legal or regulatory obligation or in order to enforce or apply any of my terms of service.

I require all such third parties to respect the privacy and security of your personal data and to treat it in accordance with the law.  I do not permit such third parties to use your personal data for their own purposes and only permit them to process your personal data for the purpose(s) specified and in accordance with my instructions.

Storing and retaining your information...

I have in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorized way, altered or disclosed.  If your personal information is processed or stored outside of the EEA, your personal information is afforded a similar degree of protection:

(a) due to the country (or countries) in which your personal data may be transferred or processed having been deemed to provide an adequate level or protection for personal information by the European Commission;

(b) due to the entity which conducts the transfer or processing outside of the EEA having appropriate ‘binding corporate rules’, other specific contracts approved by the European Commission, known as ‘model clauses’ in place or (where the provider or processing is based in the US) such entity being certified for the purpose of Privacy Shield.

I will only keep your personal information for as long as is necessary to fulfill the purposes for which it was collected and where required by any legal, regulatory, accounting or reporting requirement.

Your Rights...

You have a number of rights in connection with the personal information I collect from you.  These rights include:

(a) the right to access to your personal information by requesting a copy of what I hold (known as a ‘data subject access request’);

(b) the right to correct any incomplete or inaccurate personal information I hold (and I strongly encourage you to keep me informed as soon as possible when any of your personal information changes);

(c) the right to request erasure of your personal data, though note that this may not be possible, depending on any relevant legal, regulatory, reporting or accounting requirements;

(d) the right to object to me processing your personal information where the purpose of the process is for my legitimate business interest and you feel the processing impacts your fundamental rights or freedoms;

(e) the right to request restriction of the processing of your personal information in certain situations;

(f) the right to request the transfer of your personal information to you or to a third party (for example where you wish to change dog walkers).

You can find out more details about your rights from the Information Commissioner’s Office at https://ico.org.uk.

At present I don’t rely on consent as the basis to process your personal information, but should this change in the future, I would ensure your explicit consent is obtained prior to any processing, and you would also thereafter have the right to withdraw that consent at any time.
